Job Summary

The Wish Coordinator I is responsible for coordinating and managing the wish experience for wish children and their families by granting life-changing wishes while including local volunteers in the wish experience.

  • Serves as the primary coordinator for various wishes as assigned by the Director of Programs.
  • Sets expectations and ensures the coordination of all details involved with the wish execution of life-changing wishes.
  • Believe in the agency’s mission and act in accordance with the agency’s policies and procedures.
  • Recruits, engages and stewards volunteers for the wish process.

 

Job Responsibilities

Wish Management

  • Primary contact for assigned wish families throughout the wish process.
  • Works with wish families to verify wish details including, but not limited to, wish participants, wish timeframe, installation, medical needs and travel details.
  • Verifies with child’s medical team that the wish is medically appropriate and that each wish proceeds in a manner that is medically in the best interest of the wish child and/or family members.
  • Ensures all budget and expense forms are created, adjusted, revised, and approved as necessary throughout the wish process.
  • Strategically plans for and executes spending within approved budget.
  • Accurately reconciles wish expenses post wish.
  • Creates family expense needs in accordance with the organization’s spending money calculations and creates request accordingly.
  • Utilizes all in-kind resources available for this wish type when deemed appropriate as well as solicits vendors for in-kind goods and services to enhance the wish granting process and properly records all the information.
  • Keeps abreast of and utilizes national in-kind resources and educates the team of opportunities where appropriate.
  • Update and keep current wish data base for each wish child.
  • Protects the wish case confidentiality in accordance Make-A-Wish’s policies and procedures.
  • Ensures that the wishes assigned move through the wish process in a timely manner.
  • Consistently implements national and chapter wish-granting policies, guidelines, standards and procedures to ensure consistency among wishes granted and to protect the wish child, their family and Make-A-Wish.
  • Keeps abreast of current wish policies, procedures and guidelines and stays updated on changes that may occur.
  • Creates wish itinerary for wish families.
  • Serves as primary point person of contact for vendors involved in implementing the wish. Ex: Give Kids the World, airlines, transportation, etc.
  • Plan, schedule and participate in wish announcements as needed.
  • Functions as primary 24-hour emergency contact for wish fmailies when they are on their wish.

Other Responsibilities

 

  • Helps identify and solve wish procedure issues to increase the quality of the wish experience for wish kids, families, volunteers, donors and staff.
  • Travel to locations within the chapter’s region to implement various components of wish execution.
  • Participates in medical outreach as needed to educate the community of our mission and who we serve.
  • Develops and maintains positive relationships with referral sources and members of the wish child’s medical team.
  • Serves as wish host for wish assists from other chapters when needed.
  • Assists in duties needed at internal and external fundraising events as needed.
  • Participate as a productive member of the programs team in chapter staff meetings.

 

Qualifications

  • Preferred: Bachelor’s Degree in appropriate related field.
  • Demonstrated proficiency with MSOffice, especially Microsoft Word and Excel, and SalesForce.
  • Demonstrated ability to organize multiple tasks concurrently and be detail-oriented.
  • Demonstrated oral and written communications skills, willingness to listen and to help build consensus within committee structure.
  • Proven track record of teamwork and team building.
  • Positive attitude and strong customer service skills.

Salary to be negotiated.  Fringe benefits include health care insurance plan with dental and vision coverage, 401(k) program, disability insurance, life insurance, and disability leave as provided by the Make-A-Wish Middle Tennessee’s personnel policies.  This is a full-time, non-exempt position.
