Job Summary

PURPOSE: The purpose of this role is to provide critical support to Operation Andrew Group’s Directors of United4Hope, United4Pastors and Oak Project, acting as the primary lead for planning and coordination of all program-specific events.   

Job Responsibilities

Program specific event planning and coordination: (70%)

  • Manage inventory and preparation of all supplies and print materials
  • Secure and communicate with venue staff
  • Coordinate vendors, i.e. food, printers, sound equipment and/or giveaways
  • Enlist and coordinate volunteers
  • Track attendees, and send correspondence such as confirmations and reminders
  • Lead set-up process, participant check-in, and breakdown
  • Prepare and send follow-up correspondence
  • Manage tracking of outcomes and engagement metrics (Key Performance Indicators and Microsoft Initiative Report Form)

Social media and program website updates (15%)

  • Upload and organize photos, videos and other program specific posts and updates to website and social media
  • Update and maintain Calendar/Events updates and resource portal

 

Assist Directors with various administrative needs (15%)

  • Schedule meetings and send calendar invitations
  • Create forms in Customer Relationship Management (CRM) system
  • Create graphics for events and surveys; deploy notifications and surveys, post and manage responses
  • Help create communications independently and with content provided by the Director(s) including, but not limited to:
    • background screening requirements and results
    • monthly topical emails
    • marketing materials
    • participant applications
  • Track and analyze key metrics related to program participation, retention and satisfaction
  • Assist with maintenance of database and/or spreadsheets

Qualifications

  • High School diploma, GED or equivalent
  • Three or more years of experience in event coordination desired
  • Experience working in nonprofit field a plus
  • Experience working in an environment with diverse audiences, denominations, and cultures desired
  • Self-starter, process and detail-oriented and able to manage multiple projects and relationships
  • Strong personal relationship with Jesus
  • Work on projects independently as well as collaborating with the team with a strong ability to organize and prioritize
  • Excellent written and oral communication skills
  • Experience or willingness to learn Microsoft Office Suite, Monday.com, Canvas, Canva, Vimeo, and Little Green Light (CRM)

Working conditions

  • Part-time position, working 24-30 hours per week, primarily Tuesday, Wednesday and Thursday
  • Office hours are 8:30-4:30, but some occasional evening and weekend hours are necessary
