Job Summary

Since 1989, Book’em has connected Nashville’s children with books and the joy of reading. Through five programs, we serve more than 22,000 children annually across Davidson County and have distributed over 1.5 million books to young readers ages 0–18. We’re creating a brand-new role, Operations Director to handle financial, HR, and administrative functions for the organization. This role takes ownership of existing systems and procedures, refines them, and has real latitude to automate, streamline, and pivot where it makes sense, reporting directly to the Executive Director with no layer in between. This is not an executive assistant role. You’ll have genuine ownership and room to improve how things run, working within systems that are already in place rather than starting from nothing.

Job Responsibilities

  • Financial operations: QuickBooks reconciliation across payment platforms (Stripe, PayPal, Venmo, bank, credit card), monthly financial reporting, payroll coordination through Gusto, and audit support.
  • Human resources administration: onboarding, personnel records, benefits administration, and HR compliance.
  • Board and committee logistics: board packet assembly, meeting scheduling and coordination, and minutes support.
  • Organizational systems: Microsoft 365 and SharePoint administration, Airtable, and systems documentation.
  • Operational continuity and facilities support. 

You’ll have real influence over how these functions evolve: refining existing reconciliation and internal-control processes, identifying what should be automated or migrated to better tools, and recommending updates to HR and financial policy. Year one is largely about learning the current systems well and building trust before making significant changes; deeper systems automation and larger process redesign are explicit year-two goals, with support from existing staff along the way.

Qualifications

  • 3+ years of experience in operations, finance administration, or office management.
  • Hands-on bookkeeping experience.
  • Strong organizational judgment and comfort working independently.
  • Microsoft 365 proficiency.
  • Discretion with confidential information.

QuickBooks Online, Airtable, and nonprofit experience are a plus, not required — if you meet most of these, we encourage you to apply.
