Position Summary
The Executive Administrative Assistant provides high-level administrative support to executive leadership, enabling efficiency in daily operations and strategic functions. This role requires strong organizational, communication, and problem-solving skills, along with the ability to work independently, exercise sound judgment, and handle sensitive information with professionalism and discretion.
Job Responsibilities
Key Responsibilities

Provide advanced administrative support to the Director and the team.

Manage calendars, schedule and confirm appointments, and prepare materials for meetings and events.

Review, prioritize, and distribute incoming communications; draft and send routine correspondence independently.

Maintain well-organized filing systems (digital and physical) and manage office supplies and inventory.

Track and process departmental payroll, leave requests, and mileage reimbursements for staff.

Prepare and submit detailed reports required by local, state, and federal agencies.

Assist in developing and monitoring departmental budget accounts and expenditures.

Greet and screen visitors and phone calls; address inquiries when appropriate to relieve executive workload.

Handle sensitive or confidential communications with professionalism, including engagement with concerned or upset individuals, while aligning with MNPS policies and values.

Coordinate logistics for meetings and events, ensuring materials and agendas are prepared in advance.

Support daily office functions and collaborate with team members to ensure smooth operations.
Qualifications

Demonstrated expertise in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management tools.

Strong attention to detail, time management, and organizational skills.

Excellent interpersonal and communication skills.

Ability to exercise initiative, take ownership of responsibilities, and make informed decisions within assigned authority.

Familiarity with school systems or public-sector administrative work is a plus.
