Job Summary
The Administrative Assistant supports the Development Department by managing donor data, assisting with fundraising events, and contributing to Rocketown’s marketing efforts. This role ensures the accuracy and integrity of donor records, coordinates donor acknowledgments, assists with grant proposals, and facilitates communication with internal and external stakeholders. The position also plays a key role in executing events. Additionally, the Administrative Assistant collaborates with the Sr. Director of Advancement to create mission-aligned content and support marketing initiatives across digital platforms. This is a dynamic role that requires strong organizational skills, attention to detail, and a passion for Rocketown’s mission.
Job Responsibilities
Administrative:
• Process all gifts into donor database and maintain the database to ensure accuracy.
• Issue invoices and collect outstanding invoices.
• Works with finance office to reconcile donations each month.
• Manage and execute the donor acknowledgement plan.
• Assist with submitting grant proposals and required reports. Research new grant opportunities.
• Recruits and supervises volunteer interns to assist in the Development department.
• Communicate both written and orally as needed.
Events:
• Assist with Development Department events.
• Organize and coordinate event committees.
• Coordinate sponsor benefits (promises made to sponsors).
• Oversee and manage soliciting, securing, bundling and shipping auction items, and cataloging
items into software.
• Collaborate with staff, volunteers, and vendors to ensure events run smoothly
Marketing:
• Assist the Sr. Director of Advancement in creating engaging, mission-aligned content for
Rocketown’s platforms.
• Support the development of a monthly content calendar to maintain consistent communication
with followers.
• Assist in creating and publishing posts, stories, and reels that tell the story of Rocketown’s
programs, events, and impact in a creative and engaging way
• Collaborate on analyzing metrics to improve social media strategies and engagement.
• Provide support in brainstorming and executing creative campaigns for initiatives like Rocketown’s
Day of Giving, Giving Tuesday, year-end appeals, and special events.
Qualifications
• High energy, positive attitude, flexible, committed to the team and teamwork, attention to
detail, self-motivation, and a high degree of initiative.
• Strong verbal communication skills and demonstrated ability to write clearly and persuasively.
• Strong partnership-building and event planning skills.
• Computer literate.
• Ability to make decisions in a changing environment.
