Job Summary
SUMMARY
The Administrative Support Specialist provides vital administrative, operational, and communications support across CASA Nashville’s Exeucutive Leadership team. This part-time role supports office logistics, volunteer coordination, donor stewardship, event logistics, data management, and internal communication. The Administration Assistant ensures seamless operational assistance that helps further CASA Nashville’s mission to advocate for children through trained community volunteers.
Job Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative & Operational Support
- Serve as a contact for prospective volunteers.
- Assist in scheduling meetings, interviews, trainings, and community functions.
- Maintain and update organized paper and digital records.
- Provide administrative support to the CASA Board and YP Board as needed.
- Assist with event logistics and general office support tasks.
Volunteer & Donor Engagement
- Support the volunteer screening and onboarding process.
- Enter donations into the donor database and prepare acknowledgment letters.
- Assist with donor and volunteer engagement communications and appreciation efforts.
- Help coordinate volunteer advocate and donor events in collaboration with team members, including fundraisers and the volunteer summit.
Data Management & Reporting
- Maintain data accuracy in volunteer and donor databases.
- Assist in compiling information for reports, reconciliations, and grant submissions as needed.
- Participate in internal data reviews and quality improvement activities.
Communications & Marketing
- Provide support updates to the CASA Nashville website and digital platforms.
- Assist with donor mailings and promotional material creation.
Collaboration & Culture
- Contribute to a collaborative and inclusive team culture.
- Model professionalism and respectful communication.
- Represent CASA at community events and partner functions when needed.
Other duties as assigned.
Qualifications
QUALIFICATIONS
- Associate or bachelor’s degree, or equivalent experience.
- At least two years of experience in nonprofit administration or development.
- Proficient in Microsoft Office; experience with CRM or donor databases preferred.
- Strong organizational, writing, and interpersonal communication skills.
- Ability to manage multiple priorities and maintain confidentiality.
WORK CONDITIONS
- Part-time position (approximately 20–25 hours per week), with occasional evening or weekend responsibilities for events.
- Must have reliable transportation and maintain a valid driver’s license and auto insurance.
- Ability to lift and carry up to 25 pounds and perform standard office duties.
- Some evenings and weekends are required.
