Job Summary
The Member Services & Programs Coordinator will provide administrative and logistical support for the delivery of programs, events and member services to TSCPA members and stakeholders. This position works closely with the Senior Manager of Talent & Programming to ensure smooth preparation and execution of events and programs. The position has responsibility for the day-to-day management of member records updates, data process flows within the membership database and membership reporting.
Job Responsibilities
Event and Program Support
- Materials Preparation: Support the preparation and distribution of meeting and event materials.
- Event Logistics: Provide on-site or virtual event support, including registration, room setup, and coordination with vendors, etc.
- Communication: Assist in communication with members and event participants in advance of the event and on site.
- Registration and Database Management: Assist with event registration processes, including data entry, tracking registrations, and providing counts to vendors, etc.
- Project Management Support: Assist in tracking project timelines, tasks, and deadlines across multiple programs and events.
- Scholarship Program Support: Provide general administrative support for scholarship program, including data entry, scanning and filing.
Member Services and Database Support
- Process Enhancement & Documentation: Work with Chief Operating Officer and membership staff to update and document current processes and procedures related to membership database maintenance.
- Member Services: Act as point of contact for members and firm administrators in response to questions about membership requirements, group invoices, new member information, and other topics.
- Data Imports & Review: Manage imports of large volumes data to member database, including committee volunteer lists, successful candidate lists, and prospective member lists.
- Annual Membership Renewal: Serve as point of contact for annual membership renewal for staff and members and take responsibility for annual renewal notifications to firm administrators and members.
- Membership Reporting: Provide and file regular reporting on membership statistics by utilizing and / or developing reports in member database.
Work Schedule:
- The role is part-time, with an average of 25 hours per week expected, and potential to reach 27-28 hours per week occasionally. To best meet the needs of the organization, it is preferred that these hours be spread over at least 4 working days per week. Flexibility is available dependent on business needs.
- This role is based primarily in the Brentwood office with some remote work options available.
