Job Summary

The Program Coordinator plays a key role in advancing ABC’s mission by supporting the daily operations and administration of our impactful programs and services. Working closely with the Director of Programs, this position helps ensure the smooth execution of seven core programs: 1) Volunteer Lawyers & Professionals for the Arts (VLPA), 2) Periscope: Artist Entrepreneur Training, 3) Arts Board Matching, 4) Education for the Creative Community, 5) Fiscal Sponsorship, 6) Project Management, and 7) Creative Advantage: Corporate Training Suite, as well as other services and special events in service to the organization’s mission. This is an ideal role for a highly organized, detail-oriented, and mission-driven individual who thrives in a collaborative and creative environment. Typical duties will include, but are not limited to:

Job Responsibilities

Program Support & Operations

  • Coordinate logistics and communications for core programs, including managing application processes, facilitating communication with program participants or volunteers, and other coordination activities
  • Assist in booking venues, vendors, and speakers for workshops, trainings, and events 
  • Maintain program schedules, timelines, and tracking systems to ensure successful implementation
  • Support program delivery in alignment with organizational goals and identify opportunities for improvement
  • Provide responsive support to participants, partners, and volunteers

Community Engagement

  • Build and maintain strong relationships with artists, nonprofits, creative professionals, and community partners
  • Represent ABC at events and networking opportunities to raise visibility and grow awareness of programs
  • Assist in promoting ABC’s offerings through one-on-one outreach and informational meetings
  • Identify opportunities for collaboration, referrals, or expanded program reach based on community needs
  • Help gather and share participant success stories and program impact to support storytelling and future engagement

Administration

  • Maintain organized records and perform accurate data entry related to programs, participants, and impact
  • Prepare and organize documents and materials for meetings, workshops, trainings, and events
  • Assist in generating reports for internal use and for funders or grant requirements
  • Provide general administrative support to the Programs team

Qualifications

Education/Experience

  • High school diploma or GED required; Associate’s degree or Bachelor’s degree preferred
  • Previous experience in program coordination, event planning, or office administration preferred

Characteristics, Knowledge, Skills and Abilities

  • Passion for ABC’s mission and building relationships across the Greater Nashville arts community, including artists, arts nonprofits, and creative businesses
  • Strong interpersonal and communication skills
  • Excellent organizational and time management skills
  • Ability to manage multiple tasks and deadlines independently
  • Collaborative team player with a proactive, problem-solving mindset and proven ability to work with a variety of people and environments
  • Proficient in Microsoft Office and Google Workspace (Docs, Sheets, Forms, etc.)
  • Familiarity with platforms like Salesforce, Asana, Basecamp, Canva, and Google Analytics a plus

Environmental Conditions & Physical Demands

This role operates in a hybrid model with flexibility to work remotely within the Greater Nashville area. Occasional evening and weekend hours are required for events. The position may include:

  • Some work outside of typical office hours during the planning and execution of special events. Some light local travel for errands or community engagement may also be required.
  • Routine use of computers and office equipment.
  • Walking, standing, bending and carrying of items weighing 1-15 lbs.
