Job Summary
Fannie Battle Day Home for Children, Inc. is seeking a full-time Receptionist/Office Coordinator to Serves as the welcoming, first point of contact for Fannie Battle Day Home for Children, ensuring a secure and efficient front office by managing family and visitor check-ins, answering multi-line phones, and handling clerical tasks like data entry, check-in, and tuition processing. This role requires strong verbal and written communication, exceptional multi-tasking and organizational skills, and a commitment to supporting families and staff in a nurturing, compliant environment. This is an hourly position.

Job Responsibilities
- Welcomes visitors by greeting them in a professional and welcoming tone, in person or on the telephone, answering or referring inquiries
- Act as the Fannie Battle ambassador, welcoming children, families, and visitors with a warm, professional demeanor and appearance
- Maintain security by following procedures; monitoring logbooks; issuing visitor badges
- Manage multi-line phone system, screening and directing calls promptly and politely
- Maintain safe and clean reception area by complying with procedures, rules, and regulations
- Responsible for compiling, creating, and sending monthly family e-newsletter and other mass family communications
- Manage donation drop-offs, donation display area, as well as provide donors with in-kind donation reports as requested
- Monitor/manage general info email address as well as general Fannie Battle voicemail box on a daily basis
- Monitor drop off and/or pick up to ensure tracking of attendance is accurate, call and check classroom numbers daily
- Mange ordering and replacement of toner on copy machines, as well as maintaining postage on meter & maintenance
- Assist with daily scheduling as needed
- Covering teacher rest-time breaks/classroom support when ratios dictate
- Work with Program and Development staff to coordinate, schedule, and manage year-round volunteer opportunities
- Manage the Christmas Adopt-a-Family program to provide families with gifts during the holiday season, including managing relationships with corporations, churches, community groups, individual donors and Fannie Battle families
- Maintain a high standard of cleanliness and organization at the reception desk, ensuring a positive first impression
- Handle sensitive information with discretion and strictly follow confidentiality protocols
- Support Administration staff with various filing, data entry, and other similar tasks
- Assist Business Operations manager with compiling receipts and payables for approval and processing
- Assist with updating child and family information in ProCare database
- Assist with updating donor information in Raiser’s Edge database.
Qualifications
- Applicants must have a high school diploma, be at least 18 years of age, and pass a mandatory background check.
- Administrative and/or reception experience preferred
- Experience in early childhood education preferred but not required.
- Must be self-motivated, detail-oriented, highly organized, and demonstrate strong written and verbal communication skills.
- Must have experience with Microsoft Office.
- Familiarity with database/CRM functionality is strongly preferred.
- Demonstrated success as a collaborative team member who contributes to the organization’s strategic direction.
- Ability to work with and maintain confidential and sensitive information is required.
- Respond immediately and appropriately to multiple or unexpected situations or emergencies.
- Demonstrate full range of physical, mental, and emotional capabilities to fully perform job responsibilities.
- Access to transportation for local travel as needed
- Ability to lift 40 pounds and the agility to navigate multiple flights of stairs and move quickly to keep pace with children
