Job Summary
The Office Manager at High Hopes, Inc. is responsible for the daily coordination and execution of administrative operations that support the successful functioning of our inclusive preschool serving children from 6 weeks to pre-kindergarten. This full-time, in-person role ensures smooth school functioning by managing admissions, communications, childcare software, billing, volunteer coordination, inventory, and general support. The Office Manager helps to create a welcoming, organized, and efficient environment and experience for staff, families, and visitors.
Job Responsibilities
Coordinate the full admissions process including tours, communications, wait pool, playdates, and rosters.
Manage childcare software (currently Procare) for parent engagement, records, and staff timekeeping.
Oversee tuition billing, including monthly payments, EAV, and family communication.
Manage CRM system (currently IntelliKid Systems), supporting family engagement and communication.
Maintain accurate student files per licensing requirements.
Provide scheduling and administrative support to the Family Teacher Organization (FTO).
Plan and execute family events: information sessions, open houses, graduation, resource fairs.
Manage inventory: ordering, purchase orders, and restocking essential supplies.
Maintain school presentation: signage, bulletin boards, shared spaces, and family info areas.
Offer general administrative support: filing, scheduling, document creation, and operations involvement.
Lead volunteer program in the school including scheduling and training.
Assist with daily school tasks as needed (laundry, dishes, etc.).
Provide classroom coverage during breaks or when staffing needs arise.
Serve as point person during before/after care and in the director’s absence.
Qualifications
Full-time, in-person position
Higher education degree preferred.
3+ years administrative experience
Software, data, and event management skills
Experience in inclusive school settings preferred
Familiarity with DHS licensing and regulations preferred
Ability to lift 40 pounds
