Job Summary
The Volunteer Coordinator is a full-time position responsible for managing and growing two key programs at the Tennessee Caregiver Coalition (TCC):
- Senior Volunteer Program – Engages older adults as volunteers to provide companionship and support to other seniors, ensuring compliance with grant requirements.
- Volunteer Group Respite Program – Oversees monthly group respite events for children with disabilities and older adults, including recruiting, training, and supervising volunteers, and facilitating events.
- Community Action Council – Recruits, trains, and manages volunteers who participate in outreach, legislative advocacy, and advising TCC on caregiving issues, ensuring caregivers’ voices inform programs and advocacy priorities.
The Volunteer Coordinator will also host one to two monthly caregiver support groups, providing a safe and supportive environment for caregivers.
To succeed in this role, the candidate must be detail-oriented, reliable, collaborative, highly organized, self-motivated, and passionate about volunteerism, advocacy, and caregiver support.
This is a hybrid position, with at least two in-office days in the Nashville office per week and travel as needed. The position requires reliable transportation for travel to visit volunteers, caregivers, and partner sites.
This position includes a six-month probationary period, with a performance review at 90 days and a final review at the six-month mark to assess long-term fit and success in the role. Continuation in the role is contingent upon meeting the established performance standards.

Work Schedule Requirements
- Must work at least two Saturdays per month to facilitate volunteer group respite events; the following Monday will be a scheduled day off.
- Must be available to work up to five evenings per month to provide volunteer trainings, accommodate volunteer schedules, facilitate group respite events, and lead caregiver support groups.

Volunteer Recruitment, Training & Supervision
- Ensure an adequate number of volunteers to meet grant compliance standards by:
- Holding recruitment events as needed.
- Actively recruiting and engaging new volunteers as needed to meet grant requirements.
- Train 100% of volunteers, ensuring:
- All new volunteers receive an onboarding training within two weeks of passing their background check.
- Monthly continuing education and in-service training sessions are held, including at least six guest speakers annually.
- Maintain accurate and complete volunteer timesheets, ensuring:
- 100% of volunteers submit monthly timesheets on time.
- All errors are corrected by volunteers before submission.
- Volunteer hours are accurately tracked and submitted to the President/CEO by the 7th of each month.
- Conduct quarterly check-ins with all volunteers and partner sites to ensure satisfaction and resolve concerns.
Senior Volunteer Program Oversight & Compliance
- Maintain ongoing relationships with Senior Volunteer Program Stations, ensuring:
- At least quarterly communication with all partner sites.
- All placements remain compliant with grant requirements.
- Secure new program stations as needed to maintain grant compliance, ensuring:
- A list of potential partner sites is maintained and updated quarterly.
- New stations are recruited as required to keep up with volunteer numbers and program growth.
- Assist with grant reporting by:
- Collecting and submitting required volunteer data.
- Ensuring all program records are accurate and up to date for reporting.
Volunteer Group Respite Program
- Plan and facilitate monthly respite events, ensuring:
- One respite event per month is held for children with disabilities.
- One respite event per month is held for older adults.
- All events are planned and executed with appropriate staffing, logistics, and quality programming.
- Recruit, train, and supervise volunteers, ensuring:
- All new volunteers complete onboarding and training within two months of background check clearance.
- Volunteers receive ongoing supervision and support during events.
- Monthly volunteer in-service or continuing education sessions are conducted, including guest speakers as appropriate.
- Attend and oversee respite events, ensuring:
- The Volunteer Coordinator is present at 100% of events to manage logistics and provide on-site leadership.
- Volunteers are supported, and any issues during events are addressed immediately.
- Caregivers receive a welcoming and supportive experience during respite events.
- Collect, track, and report program data, ensuring:
- Attendance data, volunteer hours, and caregiver participation are recorded accurately within 24 hours of each event.
- Monthly program reports are submitted with complete and accurate data.
- Evaluate program success and impact, ensuring
- Caregiver satisfaction surveys are administered at every event.
- A minimum 95% satisfaction rate is maintained based on caregiver feedback.
- A detailed annual program report is submitted summarizing participation, outcomes, and caregiver impact.
Community Action Council Oversight
- Recruit, train, and manage Community Action Council members, ensuring:
- All members complete onboarding and advocacy training within two months of joining.
- Volunteers attend quarterly meetings to provide input on caregiving issues and inform TCC’s programming and advocacy priorities.
- Council members participate in outreach activities (minimum of four annually) to raise awareness of caregiver resources.
- Volunteers receive training and tools to engage in legislative advocacy, including attendance at “Day on the Hill” and virtual advocacy sessions.
- Facilitate engagement and impact by:
- Supporting Council volunteers in organizing at least two community listening sessions annually to gather caregiver feedback.
- Tracking member participation in outreach, advocacy, and advisory activities and reporting data monthly.
- Ensuring Council recommendations are documented and shared with TCC leadership for program planning and policy development.
- Providing recognition and appreciation of Council members’ contributions, including acknowledgment at annual appreciation events.
- Evaluate program success and impact by:
- Administering biannual satisfaction surveys to Council volunteers to assess experience and effectiveness.
- Producing an annual report summarizing Council activities, outreach reach, advocacy participation, and how caregiver input shaped TCC initiatives.
Caregiver Support Groups
- Plan and facilitate caregiver support groups, ensuring:
- One to two caregiver support groups are held each month (virtual or in-person as appropriate).
- Each session includes structured discussion topics and resources relevant to caregiver needs.
- Group facilitation fosters a safe, supportive, and inclusive environment for all participants.
- Facilitate and support group sessions, ensuring:
- Sessions begin and end on time, with clear agendas and well-managed discussions.
- Any participant concerns are addressed within one week of arising.
- Collect, track, and report program data, ensuring:
- Attendance records and discussion summaries (non-identifying) are submitted within 24 hours of each session.
- Feedback surveys are distributed to participants at least twice per year.
- Evaluate program success and impact, ensuring:
- Feedback survey results are reviewed and used to adjust programming as needed.
- Participant satisfaction averages at least 90% based on feedback surveys.
- An annual summary report is submitted highlighting participation, outcomes, and impact.
Advocacy & Legislative Engagement
- With the Outreach and Events Coordinator, lead TCC’s legislative advocacy efforts, ensuring:
- Plan and organize “Day on the Hill” activities, including caregiver participation, talking points, and legislative meetings.
- Develop and conduct at least two advocacy training sessions per year for volunteers and caregivers.
- Support Community Action Council volunteers in advocacy efforts within their regions, including participation in local policy discussions.
Program Administration & Compliance
- Track and maintain accurate data for all programs, ensuring:
- 100% of volunteer, caregiver, and advocacy participation data is entered within 24 hours of events or interactions.
- Volunteer and program reports are submitted with 100% accuracy.
- Provide regular program updates for board reporting by:
- Submitting 2–4 bullet points monthly that highlight program outcomes, wins, and activities
- Ensuring updates are written in the third person and submitted by noon on the second Monday of each month
- Maintaining a 100% on-time submission rate for monthly updates
- Facilitate surveys of volunteers, caregivers, and care recipients twice per year, ensuring:
- Surveys are administered on schedule.
- Survey data is compiled and submitted to the Programs and Development Director within two weeks of collection.
- Plan and execute a Volunteer Appreciation event in April, ensuring:
- A detailed event plan is finalized at least 90 days in advance.
- At least 75% of active volunteers attend the event.
- All volunteers receive recognition and appreciation gifts.
- Assist in organizing one large Caregiver Appreciation event in November, securing at least five sponsors/partners for event support.
Community Outreach & Awareness
- Conduct at least 12 presentations per year to raise awareness of TCC services and recruit volunteers.
- Represent TCC at at least six community events per year to network and build relationships with partner organizations.

Qualifications
- Minimum 2 years of volunteer coordination experience
- Experience working with caregivers, older adults, or nonprofit programs (personal caregiving experience considered)
- Strong organizational skills – ability to juggle multiple tasks and meet deadlines
- Excellent communication skills (verbal and written)
- Tech-savvy – proficient in Microsoft Office, Google Workspace, and volunteer management software
- Self-motivated and able to work independently in a hybrid setting
- Ability to build relationships and work collaboratively with volunteers, caregivers, and community partners
- Reliable transportation required
